How to use the invoice generator

  • Pick your currency, then fill in the From and Bill to boxes with your details and your client’s.
  • Add a line for each item or service. Enter a quantity and a rate, and the amount is worked out for you. Use Add a line for more.
  • Add a discount or tax rate if you need one. The total updates as you type.
  • Write your payment details and terms in the notes box.
  • Click Print or save as PDF. In the print window, choose “Save as PDF” as the destination to get a file you can email.

What to include on an invoice

Requirements differ by country and by whether you charge sales tax or VAT, so check the rules where you and your client are based. As a general guide, a clear invoice usually shows:

  • A unique invoice number, so you and your client can refer to it
  • The invoice date and the payment due date
  • Your name or business name and contact details
  • Your client’s name or business name and address
  • A clear description of what you delivered, with quantities and rates
  • The subtotal, any tax or VAT, and the total due
  • How to pay you, and your payment terms

If you are VAT-registered in the UK, a VAT invoice needs extra details, including your VAT number and the VAT amount. HMRC publishes the exact list on GOV.UK.

Tips for getting paid on time

  • Send it promptly. Invoice as soon as the work is delivered or the milestone is reached.
  • State the due date clearly. “Due in 14 days” is easier to act on than “payment on receipt”.
  • Make paying easy. Put bank details or a payment link right in the notes.
  • Keep a record. Save each PDF with the invoice number in the file name, for example INV-001-clientname.pdf.
